What are AI agents and how can they help your business?

A practical introduction to AI agents, intelligent automation and the business processes they can support.

My work is about building AI solutions that genuinely work—not for presentations, but for everyday use. From GitLab automation to internal processes, repetitive work is usually a strong candidate for improvement.

Artificial intelligence is moving beyond tools that simply answer questions. AI agents can pursue a defined objective, gather the information they need, use connected systems and prepare or carry out a sequence of actions within clear limits.

For a business, the important distinction is not the label but the operating model: an agent can take responsibility for part of a workflow while people retain control over consequential decisions.

What exactly is an AI agent?

An AI agent is a software system that receives a goal, evaluates the current situation and selects the next useful action. It may read a message, retrieve information from a CRM, compare a document with internal rules, create a task or draft a response.

Unlike a fixed automation, it can work with unstructured information and adapt its next step to what it finds. Unlike an unrestricted autonomous system, a well-designed business agent operates with defined permissions, data sources and approval points.

  • A goal and a clearly bounded process
  • Access only to the data and tools required for that process
  • Rules for uncertainty, exceptions and escalation
  • Logging and human approval for higher-risk actions

More than a chatbot

A chatbot normally responds inside a conversation. An agent can use that conversation as the starting point for work: look up an order, inspect an attachment, update a record, request missing information and prepare the next action.

The difference is therefore not a more fluent answer. It is the ability to combine language understanding with tools, memory, business rules and a controlled workflow.

How can AI agents help a business?

The strongest use cases are frequent digital processes with clear inputs and outcomes. Agents are particularly useful where people repeatedly copy information, search several systems, summarise long material or coordinate the same sequence of steps.

  • Efficiency: prepare repetitive work in seconds and let specialists focus on exceptions.
  • Customer service: interpret requests, gather context and draft relevant responses at any time.
  • Decision support: combine information from several sources and highlight the evidence behind a recommendation.
  • Process quality: apply the same checks consistently and make missing data visible sooner.
  • Innovation: test new service models through a small pilot before committing to a wider rollout.

Where should you start?

Choose one concrete process rather than beginning with a general ambition to ‘use AI’. Describe the trigger, the required data, the expected output and the points where a person must decide.

A pilot should measure turnaround time, manual effort, accuracy and the number of exceptions. These results show whether the agent should be improved, expanded or stopped.
